Configuring Registration Forms and Systems

Introduction:

Registration Forms provide users a customizable template to curate subsets of molecule (parent level), batch (second tier), and sample (third tier) fields relevant to each type of registered entity within their CDD Vault. This feature allows for multiple different types of entities to exist seamlessly within the same Vault, yet, be concisely organized and categorized by both metadata and unique autogenerated registration identifiers.

To ensure that you are ready to begin configuring Registration Forms, please refer to the following articles for a refresher on the steps a Vault Administrator will take to create molecule, batch, and sample level fields.

For a multi-entity Vault, Vault Administrators may first consider navigating to the Terminology tab under Vault Settings to reconfigure “Molecule” to read as “Entity”, for example. Generalizing the terminology used within a multi-entity Vault will ensure that each entity type can be registered without potential confusion. Please note that reconfiguring terminology does not change functionality, it simply changes what is displayed to users across a Vault. 

 

Nomenclature:

Registration System: The scheme for auto-assigning a unique identifier to each registered entity. This identifier is composed of a user-defined prefix combined with a sequential numeric identifier, ensuring every registered entity is uniquely and consistently referenced. Users may also opt to supply their own custom molecule and batch identifiers as outlined below in “Custom Name Registration Systems”.

Registration Form: A configurable interface that allows users to specify the type of entity being registered, define and populate entity-specific metadata fields, and assign the appropriate registration system used to generate the entity’s unique identifier.

Registration Type: Defines the category or class of entity being registered. Registration types include Structure, Mixture, Nucleotide, Amino Acid, Other.

Configuring Registration Systems and Registration Forms:

Let’s consider a scenario where a user would like to register four different entity types all within the same Vault; small molecules, virtual small molecules, antibody drug conjugates (ADCs), and cell lines. This user would like each class of entity to have a different registration system (prefix and numbering scheme) and to have different sets of metadata fields specific to each entity type.
 

Each of these distinct entity types may require different molecule, batch, and sample/ inventory fields to capture relevant metadata. For example, a user may create a picklist molecule field tailored towards simple small molecule registration called "Stereochemistry Note” with values of R, S, racemic, and achiral. Of course, this field is not applicable to cell line registration but will be applicable to the Small Molecule and potentially the Virtual Small Molecule registration forms. 

Registration Forms allows users to designate a subset of registration fields for each entity type ensuring an organized and streamlined approach to multi-entity Vaults. 

 

Create the relevant molecule fields for all entity types 

Please navigate to Settings -> Vault -> Molecule Fields to configure the molecule level fields for all entity types. As exemplified in the screenshot below, molecule fields have been created for the small molecule, virtual small molecule, ADC, and cell line registration types.

Fields designated as required at the Vault level are automatically included in all Registration Forms. Alternatively, fields can be optional at the Vault level but set as required within specific forms to ensure critical metadata is captured for new records. 

 

Create the relevant batch fields for all entity types 

Please navigate to Settings -> Vault -> Batch Fields to configure the batch level fields for all entity types.

Create the relevant sample/ inventory fields for all entity types 

Please navigate to Settings -> Vault -> Sample Fields to configure the sample/ inventory level fields for all entity types.



 

Create one or many registration systems depending on the desired registration scheme 

Please navigate to Settings -> Vault -> Registration Systems after contacting CDD Support (support@collaborativedrug.com) to enable this feature.

 

Use the “Create a new System” button in the top right of the screen to add a new registration system to a Vault. In the following pop-up window, please supply the System prefix, the current value, and whether or not to use Salt Codes as a batch prefix (applicable to small molecule registration only). Please note that users must set the current value to n-1 (i.e., a current value of 4999 will mean the next ADC registered will be ADC-0005000).
 

Once all Systems have been configured as shown in the screenshot below, users may next build out the required Registration Forms.

Custom name registration systems

Custom Registration Names now allow users to supply meaningful primary identifiers and batch names when registering entities. These custom names allow users to deviate from the traditional CDD identifier conventions (e.g., CDD-0000001-001) and are prominently displayed throughout CDD Vault. Please note that users must supply the required entity name and batch names as no identifiers will be automatically created. Please contact CDD Support to enable this custom feature.


 

Create a form(s) for each entity type to be registered

Please navigate to Settings -> Vault -> Registration Forms to open the Registration Form builder. As outlined in the graphic below, four registration forms will now need to be built to represent each of the four types of entities to be registered in this Vault.
 

Clicking on the “Create a new Form” link on the top right corner of the screen will pop-open the Registration Form builder. Below, we will walk through creating a Form for small molecule registrations.

  1. Create the Form name. This will typically describe the entity being registered such as Small Molecule, Production Small Molecule, Synthetic Compounds, etc. 
  2. Select the previously created Registration System. This step ties together the Registration System and the Registration Form. In this example, once “CHEM” has been selected, all entities using this Small Molecule form will be assigned a unique ID such as CHEM-0000001-AA001 for this first compound registered.
  3. Select the registration type. This will dictate what type of entity can be registered using this form. 
    1. Structure
    2. Mixture
    3. Nucleotide
    4. Amino Acid
    5. Other
  4. The structureless image toggle is only applicable to registered entities that do not have a native rendering such as cell lines or structureless records.
  5. Vault Administrators can choose to “lock” a Registration Form barring new entities from being registered using that form. While broadly applicable, this feature may be commonly implemented for legacy compound registration or locking down a series of assets for acquisition compliance.

Next, navigate to the “Molecule” tab at the top of the screen to begin building out the relevant Molecule level fields for this registration type.

  1. Notice that all previously created Molecule level fields exist in the right hand bank of the Form builder. Drag and drop all relevant fields into the canvas. Please note that users can configure the order, the number of fields per line, etc.
  2. Use the pencil icon to open the field editor.

In the field editor, users can further configure fields:

  • Set default values for fields
  • Restrict inputs to predefined Pick List values
  • Customize field behavior within specific forms

This same process can be applied to the Batch, Sample, and Inventory event tabs of the Registration Form builder. Once all fields have been configured, the form can be saved and users can begin to register entities using this form.
 

Registering new entities using Registration Forms

Registering entities in CDD Vault using Registration Forms follows the same intuitive steps that users are accustomed to. 

Through the UI on the create new Entity registration page, users will find a Registration Forms toggle directly below the familiar Project toggle.

When registering new entities in bulk through the data importer, a similar Registration Form toggle exists in the data mapping step.

 

FAQ

  1. What if I am only registering one entity type and do not need specialized registration form/ system features?

Users will define one registration system and one registration form. This will be the simplest way to set up a Vault.
 

  1. Can all of my registration forms share the same registration system?

Yes, there are many ways to configure registration settings in CDD Vault. As exemplified in the diagram below, users may choose to assign the same identifier scheme to all registered entities in their Vault.

 

  1. Can I create new registration systems and forms after I initially configure my Vault?

Yes, registration systems and forms are a dynamic aspect of Vault and can be configured as research objectives evolve.
